Welcome to our privacy policy

You are probably here because you want to know what happens to your personal data when you shop with us. That is a fair question and we will answer it in plain language.

We are MM verkoop, the company behind the webshop Geastm, and we are the data controller for the personal data described below. We only collect what we need to run the shop properly, we do not sell your data to anyone, and we do not share it beyond the parties we need to work with to get your order to your door.

1. What data we collect

When you shop with us or contact us, we may process the following:

Your name, delivery address and billing address

Your email address and phone number

Your order details, including the products you bought and the amount you paid

Payment information, which is handled by our payment provider rather than stored by us

Your return and refund history

Any messages, photos or details you send us when you contact customer service

Technical data such as your IP address, browser type, device type and how you move through our website

2. Why we use it

We process your personal data for the following purposes:

To process your order and take payment for it

To deliver your parcel and to keep you and us informed about where it is

To handle returns, refunds and exchanges

To answer your questions and follow up on complaints

To send you emails about your order, such as an order confirmation, a shipping update or a return update

To send you our newsletter and offers, if you have signed up for it

To keep our website working properly, to analyse how it is used and to improve it

To prevent, detect and investigate fraud and misuse of our shop

To comply with our legal obligations, including tax and accounting rules

If we ever want to use your data for a purpose that is not described here, we will tell you first.

3. Our legal grounds

We only process personal data when we have a valid legal ground for it:

Performance of a contract. We need your data to accept your order, take payment, deliver your parcel and handle any return.

Legitimate interest. We rely on this to keep our website secure and functioning, to analyse traffic in a general way, to improve our products and service, and to protect ourselves against fraud and abuse. We weigh this against your privacy rights.

Consent. We ask for your consent for our newsletter and for marketing and analytics cookies. You can withdraw that consent at any time and it is as easy to withdraw as it was to give.

Legal obligation. Dutch tax law requires us to keep order and invoice records for seven years, so we cannot simply delete everything on request.

Providing your data is not a legal obligation. However, some of it is necessary to enter into or perform a contract with you. If you do not give us the details marked as required at checkout, we cannot process or deliver your order. Signing up for marketing is always voluntary and has no effect on your purchase.

4. Children

Our shop and our marketing are not aimed at children. Where we need your consent, for example for the newsletter or for marketing cookies, we only ask for it from visitors who have reached the digital age of consent, which is 16 in the Netherlands. Below that age, consent must be given or approved by a parent or guardian. If we find out that we have processed a child's data without the required consent, we will delete it.

5. How long we keep it

We do not keep your personal data longer than we need it for the purposes described here.

Order, payment and delivery data is kept for as long as we need it to perform our agreement with you and to meet our legal obligations, including the seven year retention period under Dutch tax law.

Customer service correspondence is kept for as long as it is useful for handling your question and any follow up.

Marketing data is kept until you unsubscribe or object.

Website analytics data is kept for a limited period and in a form that keeps it as general as possible.

Once we no longer need data, we delete it or make it anonymous.

6. Who we share it with

We work with a small number of parties to run the shop. We share the minimum amount of data needed and we have data processing agreements in place with them. You can expect your data to reach:

Our webshop and hosting platform, which stores our shop and your order

Our payment provider, which handles your payment securely

Our fulfilment partners in Germany and France, who pick, pack and dispatch your order

Carriers, who deliver your parcel and provide track and trace information

Our email and customer service tools, which we use to reach you about your order

We may also share data where we are legally required to, for example with tax authorities.

Your data is mainly processed within the European Union. Where a provider we use is based outside the EU, we make sure appropriate safeguards are in place, such as the standard contractual clauses approved by the European Commission. You can ask us for more information about this by writing to info@geastm.com.

7. Cookies

Our website uses cookies and similar technologies. Some are necessary to make the shop work, for example to keep items in your basket. Others are used to analyse how the website is used or to show you advertising that fits your interests, and those are only placed with your consent through our cookie banner.

You can change or withdraw your cookie preferences at any time through the banner, and you can delete or block cookies through your browser settings. Blocking necessary cookies may stop parts of the shop from working.

8. Security

We take the security of your data seriously. We use secure connections and secure servers, we limit access to personal data to the people who need it, and we treat what you share with us as confidential. In the unlikely event of a data breach, we will take the necessary steps, including reporting it to the Dutch Data Protection Authority where required.

9. Your rights

You have the right to:

Access the personal data we hold about you

Have incorrect data corrected

Have your data deleted, unless we are legally required to keep it

Ask us to restrict how we process your data

Receive certain data in a portable format

Object to processing based on our legitimate interest

Object to direct marketing at any time, which is an absolute right

Withdraw your consent at any time, where our processing is based on consent

You can exercise all of these free of charge by writing to info@geastm.com. We will respond within one month. To protect your data we may ask you to confirm your identity before we act on a request.

If you want to stop receiving our newsletter, the fastest way is the unsubscribe link at the bottom of any email we send you.

10. Complaints

If you are not happy with how we handle your personal data, tell us first and we will do our best to sort it out with you. You also have the right to lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens, at www.autoriteitpersoonsgegevens.nl.
